PDF vs Word
PDF and Word Document are two of the most widely used document files in the world. In nearly every organization, employees utilize these two formats extensively for various activities.
PDF is defined as a Portable Document Format. It was developed in the early 90s with the aim of providing users a reliable file document for presenting the information. Using a variation of graphics and text, information that is rich in media is presented to the user. It is one of the most preferred document file types.
Word
Word, on the other hand, is a document file format that allows users to create, edit, send, and print information. This file type can easily be used on any word processing software. It is also the most preferred file type for creating and editing information before it is finally presented.
Comparison Between PDF and Word
Although these two document formats are all used to present information, each file is different from another. Also, each has its peculiar advantages and disadvantages. The type of output a user wants to achieve determines what format they prefer for a specific task. Below are some of the differences between the two document types.
For Printing Use
If a user intends to create a file that others will use to print out, then presenting information in a PDF format is best. PDF files are known to give high-quality print-outs that provide quality imagery, unlike word. Users are sure to get the exact screen quality on paper. Also, PDF documents are compatible with almost all printers. Therefore, a user can easily create a PDF file that other users can readily print.
Presenting Information on the Internet
Information that is presented on the internet is best kept as a PDF file. Journals, technical papers, and newsletters are best presented to readers in a read-only format for ease of reading. With a word file, a user might find it challenging to read through. In some cases, a reader might end up accidentally deleting or modifying a word file that is open for reading. Even if the file is read-only, most word pressing applications are not optimized for reading.
For Editing
If a user wants to create a file that can easily be edited, then using a word file is the answer. A word document is a perfect file for presenting information that needs to be edited, modified, or enhanced. Also, the size and format of fonts and multimedia can be adjusted quickly. On the other hand, once a PDF document is formed, editing becomes difficult. Very few tools can be used to edit the file. Also, most of the applications come at a cost, and they can only offer a limited modification.
For File Exchange
The process of exchange information from one user to another is best done using a PDF file. A large PDF file can easily be compressed into a smaller size, which fits perfectly for email use. Nonetheless, word files can also be exchanged. However, they are not as secured as PDF files.
